Purpose of PTL:

  • To encourage and cultivate high standards of Christian education through various projects that promote these standards.

  • To promote communication and good will among parents, students, teachers, administration, the school board and the pastoral staff and members of both First Lutheran Church and Good Shepherd Lutheran Church.

  • To encourage parental participation in school events.

 

Executive Officer Duties

The following positions are voted in by election at the last PTL board meeting of the school year and will serve for the following school year beginning on July 1. Another official vote will be taken at the first PTL general assembly meeting, which is usually at Open House in September.

 

President

  • Presides at all executive board and general assembly meetings.

  • Communicates all PTL events through meeting reminders, newsletters or memos.

  • Solicits and appoints chairpersons of standing committees.

  • Is accountable to the principal in all matters of procedure and finance.

  • Maintains and oversees committee positions.

  • Approves expenditures of fundraising money.

 

Vice President

  • Assumes duties in the absence of the president.

  • Performs additional duties as designated by the president.

  • Helps to maintain and oversee committee positions.

  • Works with president in overseeing expenditures of money from fundraisers.

 

Immediate Past President

  • Meets and discusses goals for upcoming year.

  • Advices and assists current president in administering PTL procedures.

 

Secretary

  • Records and provides copies of meeting minutes to board members of all PTL board and general assembly meetings.

  • Maintains a current file of PTL minutes and meeting agendas.

 

 Treasurer

  • Collects and deposits money received through fundraisers and contributions.

  • Maintains records of receipts, bank deposits and expenditures.

  • Provides a written cash accounting statement at board and general assembly meetings.

  • Maintains a checking account and accounts payable.

 

Additional PTL Board Members and Committee Chairpersons: 

 

School Board Representative

  • Serves on both school and PTL boards and communicates issues between both groups.

 

Pastor

  • A pastor from either First Lutheran Church or Good Shepherd Lutheran Church is asked to be a representative from the church and is informed of all PTL activities.

 

Hospitality

  • Coordinates and recruits volunteers to welcome families, students and visitors through PTL events such as Open House and the Christmas program.

  • Plans menu and event set-up such as decorations, etc.

 

Publicities

  • Informs the community, local Missouri Synod Lutheran churches and the school of events. The churches, in turn, may choose to inform their congregations of these events that call for public participation. All communications must go through the PTL President.

  • Maintains designated PTL bulletin boards throughout the school and the outside sign.

 

Volunteer Coordinator

  • Helps committee chairpersons recruit volunteers for PTL events.

  • Keeps track of volunteer hours and reports them to the Development Director.

  • Sends thank you letters to volunteers on a quarterly basis.  

 

Fundraising Chairperson(s)

  • Gathers information regarding appropriate fundraising methods and presents them to the PTL board.

  • Recruits volunteers to help distribute fundraising items once delivered to school.

  • Helps treasurer maintain financial records of fundraiser participants and money raised from the event.

 

Teachers’ Wish List Coordinator

The filling of this position is contingent upon decision of offering this service to teachers and staff this particular year.

  • Gathers lists of items that teachers and staff have decided they would like to have for their classroom or office. 

  • Posts a list of these items outside classroom door for each teacher.

  • Works with fundraising chairpersons in promoting the purchase of these items for the teachers and staff.

  • Purchases items from the lists.

(Volunteers may be recruited to help with this process.)

 

Staff Liaison

  • Attends PTL board meetings to ensure that teachers and staff are informed of PTL activities.

  • Acts as consulting “voice” of teachers and staff for PTL board.

 

Homeroom Parent Liaison

  • Attends regular PTL board meetings to ensure that homeroom parents are informed of PTL activities.

  • Holds meeting at the beginning of the school year to talk about specific homeroom parent duties.

 

Carnival Chairperson

  • Recruits additional chairpersons to coordinate the various activities surrounding the carnival and is accountable for the overall event.

(Because the duties of this position are quite lengthy, further descriptions are left off this list.)

 

Christmas Float Chairperson

  • Recruits volunteers to design and build a Christmas float to enter in the

            East Ridge and Downtown Chattanooga Christmas parades.

  • Recruits and organizes students to ride on the float.

  • Provides costumes and props for the participants.

  • Communicates with the cities of East Ridge and Chattanooga to enter floats.

  • Communicates with parents of participants concerning all aspects of the parades.

 

Candy Cane Shop Chairperson(s)

  • Purchases and stores items to be sold at the shop.

  • Sets up shop (usually in multi-purpose room).

  • Recruits and oversees volunteers to ensure that shop is covered during student shopping hours.

  • Be accountable for inventory and money collected.

  

Sock Hop Chairperson

  • Recruits and oversees volunteers to help with all aspects of the event (communications, kitchen help, food purchasing, decoration and set-up, photography, music and clean-up).

 

Landscaping Coordinator

  • Organizes and publicizes “Work Days” to help beautify and maintain school grounds.

  • Communicates with homeroom parents in organizing work days.

  • Sets up two “Landscape Judging” days in fall and spring.

  • Recruits three impartial judges for these two days.

 

Teacher/Staff Appreciation Week Chairperson

  • Works with PTL board, homeroom parents and volunteers to plan events to honor all staff members during the designated week (Nationally, the time is usually the first full week in May.)

 

Field Day Coordinator

  • Consults with principal and P.E. teacher about the day’s activities.

  • Decides upon design, purchase and distribution of T-shirts.

  • Decides upon menu and purchases food for cook-out.

  • Recruits volunteers to help with cook-out, equipment, food and T-shirt purchasing, set-up, clean-up, etc.
